Keeping your staff organized and able to reach each other quickly, especially in an emergency, is crucial for smooth forum operations. Relying solely on private messages or external apps can become a mess, leading to delays and frustration when you really need to connect with a team member.

Here on dmzx-web.net, we faced a situation a while back where a key moderator disappeared for a few days without warning. We had a critical issue come up, and we couldn't get a hold of them through regular channels. It was a real wake-up call that we needed a better system than just hoping everyone had each other's details saved somewhere.

That's where the dmzx Crew Contacts extension came in. It's not about publicizing staff details; it's about creating a secure, internal emergency contact book for your team. This means everyone with the right permissions can quickly find the necessary contact information for other staff members directly within the board.

Here’s how we set it up and why it made a difference:
  • Installation and Permissions: First, we installed Crew Contacts via ACP → Customise → Manage extensions. Once enabled, the critical step is setting the permissions. You'll want to grant the crewcontacts permission to your moderator and administrator groups. This ensures only your trusted staff can access the directory.
  • Staff Self-Management (UCP): The beauty of this extension is that staff manage their own entries. Each team member goes to their UCP and finds the Crew Contacts module. Here, they can fill in their details:
    • Phone number: We emphasized including the country code, especially for our international team members.
    • Alternate contact (name) & (phone): This is a lifesaver. If we can't reach the staff member directly, we have an emergency backup.
    • Location / timezone: This helps immensely in knowing when it's appropriate to call someone, preventing late-night disturbances.
    • Notes: Things like "prefers WhatsApp over calling" or specific availability really help.
  • Admin Oversight (ACP): As an admin, you can view the entire crew directory from ACP → Extensions → Crew Contacts. This gives you a quick overview of who has filled in their details. There's also a handy Download as text option for an offline backup, which is a smart move for any critical data.
  • Reminders for Incomplete Info: The extension includes a Crew Contacts: reminder to fill in my contact info feature. This means if someone hasn't entered their details yet, they'll see a notice like "You haven't filled in your Crew Contacts info yet" in their UCP. It's a gentle nudge to keep the directory up-to-date.
Since implementing Crew Contacts, we've had much better communication among our staff. No more scrambling to find a phone number or wondering if someone is in a different timezone. It's a simple, effective tool that keeps the team connected and responsive, especially when it matters most.
